The Mission
We are currently seeking an Administrative Assistant/Office Manager to join our team in Palo Alto. Looking for a team player who can pivot quickly around priorities, build morale, team culture, and be an instrumental part of the company’s success!
Core Responsibilities
- Perform general administrative tasks for leadership, including scheduling/coordinating meetings, managing email correspondence, managing travel arrangements and accommodation bookings, etc.
- Act as a point of contact for the Palo Alto office which includes, overseeing general office maintenance, stocking kitchen, ordering office supplies/equipment, preparing conference rooms for customer meetings, greeting visitors, planning/organizing office lunches, etc.
- Support the coordination and logistics of special events, such as customer meetings, off-sites, conferences, or company-wide activities
- Handle incoming and outgoing office mail and packages
- Coordinate with vendors for smooth and efficient operations of the office space and organizational functions
- Drive employee onboarding/offboarding rhythms and maintain employee records
- Partner with key functions to implement best practices and processes to drive efficiency
- Maintain confidentiality and handle sensitive information with discretion
Minimum Qualifications
- Bachelor’s Degree
- 2-5 years of prior experience in an administrative capacity (Administrative Assistant, Office Assistant, or Office Manager)
- Exceptional interpersonal and communication skills
- Basic understanding of cybersecurity principles and a commitment to security best practices
- Awareness of social engineering threats and the importance of data protection
- Detail oriented and strong organizational ability
- Experience booking travel and managing calendars
- Ability to work independently with limited supervision
- Possess a high level of emotional intelligence
- Ability to be on-site in Palo Alto daily
- Experience with MS Office suite
Preferred Qualifications
- Prior experience working in a start-up environment
Salary Range for position: $75K-$90K annually
