Overview:

We are seeking an experienced and dynamic Administrative Manager to join as a part of our Leadership Team to oversee day-to-day operations and participate in strategy to grow the value of the Daisy Orange County Branch. Reporting to the VP of Operations, The Administrative Manager is responsible for Finance, Bookkeeping, HR, Administration, and Purchasing driving organizational efficiency and excellence. This vital role demands a highly organized, proactive leader who can enforce policies, streamline operations, identify and mitigate risks, report on and strategize finances, and ensure that all administrative and financial processes are optimized to support the organization's strategic growth goals.
Duties and Responsibilities:
Human Resources (HR):
· Lead recruitment, onboarding, and employee orientation to ensure the acquisition and retention of top talent.
· Maintain and enforce compliance with labor laws and internal HR policies.
· Proactively manage employee relations, resolving conflicts and fostering a positive workplace culture.
· Oversee payroll and benefits administration, ensuring accuracy and efficiency.
· Develop and implement robust HR policies and procedures.
Administration:
· Oversee the preparation and management of contracts, ensuring compliance with legal and regulatory requirements.
· Manage and oversee insurance policies, including renewals and claims processing.
· Ensure timely renewal of business licenses, certifications, and other regulatory requirements.
· Strategically organize and manage meetings, events, and appointments to optimize time and resources.
· Implement and refine office procedures and policies to enhance operational efficiency.
· Overall asset management, oversite and compliance.
Bookkeeping:
· Conduct and ensure the accuracy of financial records and oversee general ledger entries with precision.
· Manage accounts payable and receivable, ensuring timely and accurate financial transactions.
· Reconcile bank statements and financial transactions to maintain financial integrity.
· Prepare comprehensive financial reports on a monthly, quarterly, and annual basis.
· Assist in the strategic preparation of budgets, financial forecasts, and tax filings.
Finance:
· Oversee the organization's financial health, implementing strong financial management practices.
· Develop, monitor, and enforce budgets, ensuring alignment with organizational goals.
· Ensure strict compliance with financial regulations and standards, including timely and accurate tax filings.
· File necessary financial documents and maintain organized financial records.
· Collaborate with external auditors during financial audits and reviews, ensuring transparency and accuracy.
Purchasing:
· Direct procurement processes, including strategic sourcing and vendor negotiations.
· Oversee the acquisition of equipment, office supplies, and services, ensuring cost-effective and efficient procurement practices.
· Manage inventory levels to ensure operational readiness and cost control.
· Cultivate and maintain strong relationships with suppliers and vendors.
· Monitor and evaluate supplier performance, ensuring high quality and timely delivery of goods and services.
Additional Requirements:
· Bachelor's degree in Business Administration, Finance, HR, or a related field.
· Minimum of 5 years of experience in administrative management or a related role.
· Proven experience in leading and managing a team.
· Experience in a home services, project-based business is a plus.
· Experience collaborating with HR and/or managing payroll administration is a plus.
· Proficiency in office software (e.g., MS Office Suite) and financial management tools.
· Competency with NetSuite is preferable.
· Strong understanding of financial principles, budgeting, and financial reporting.
· Strong knowledge of statistics and accounting.
· In-depth knowledge of HR practices, labor laws, and employee relations.
· Experience in managing compliance with legal and regulatory requirements.
· Strong analytical and problem-solving abilities.
· Problem-solving skills and a creative, investigative nature to probe data for key insights.

Working Conditions:
